# Write appointment reminder and no-show messages

Give the AI your business details and cancellation policy, and it drafts a short text reminder, an email reminder and two no-show follow-ups you can paste into your booking tool after you check them.

- Category: Scheduling and meetings
- Difficulty: Easy
- Setup: about 10 minutes
- Time saved: about 20 minutes a use (our estimate, not a measurement)
- Works with: Any AI chat, Square Appointments, Acuity Scheduling
- Test status: Run once on made-up data on 21 Oct 2026 with Claude. One run, not proof.
- Approval: Draft, not yet approved by the owner
- Version: 1
- Last checked: 2026-10-21

## What this does

It writes four messages: a text reminder, an email reminder, a kind no-show note and a firmer one for repeat no-shows. You check the facts and tone, then paste them into your booking tool.

**Texting needs consent.** Only text clients who agreed to get texts from you. The FCC says autodialed texts need the person's prior consent, and anyone can opt out at any time in any reasonable way. Keep reminders to appointment facts; Square blocks marketing language in appointment notifications.

## Before you start

- Any AI chat (ChatGPT, Claude, Gemini or Copilot).
- Your business name, address, rebooking link or phone, and client prep notes.
- Your cancellation policy, word for word.
- Setup: about 10 minutes (our estimate).
- Privacy: use placeholders, not client names or phone numbers.

## Steps

1. Copy your cancellation policy exactly as clients see it.
2. Paste the prompt into a new AI chat and fill in the blanks.
3. Check every fact: name, address, link, phone, policy wording, fee.
4. Swap the AI's placeholders for your booking tool's. They differ by tool.
5. Paste the messages into your tool. In Square: Appointments > Settings > Communications. In Acuity, set reminder timing and templates (see Sources).
6. Book a test appointment and read the reminder on your own phone and inbox.

## The prompt

```
Write appointment messages for my business. Use only the details I give you. Don't send anything.
Business: [name], [what you do], [address or "online"]
Rebook or change: [link and/or phone]
Cancellation policy, word for word: [policy, or "none"]
Client prep notes: [what to bring or do, or "none"]
Tone: [friendly / brief / formal]
Write:
1. A text reminder sent [1 day] before. Under 160 characters. Business name, day, time, how to change. No offers or sales.
2. An email reminder with the same facts plus the prep notes.
3. A no-show message sent the same day. Kind, no blame, offers to rebook. Mention a fee only if my policy includes one, quoted exactly.
4. A firmer version for a second no-show.
Use placeholders like {client name}, {date}, {time} where my booking tool fills in details. If my policy or details are unclear, write UNCLEAR. Don't promise refunds, discounts or exceptions I didn't list.
```

## Try it with made-up data

Juniper Paws Grooming (made up), dog grooming, 412 Alder Lane, Fernwood. Rebook: juniperpaws.example/book or (555) 010-0142. Tone: friendly. Prep: walk your dog before the visit; bring vaccine records on a first visit. Policy: "Please give us 24 hours' notice to cancel or reschedule. Missed appointments or cancellations with less than 24 hours' notice are charged a $15 fee."

## What the AI gave us

> **1. Text:** Juniper Paws: Hi {client name}, {pet name} is booked {date} at {time}. Need to change? juniperpaws.example/book or (555) 010-0142
>
> (The email reminder is trimmed here.)
>
> **3. No-show.** Subject: We missed you and {pet name} today
> Hi {client name}, we had {pet name} booked today at {time} and didn't see you. We hope all is well. To rebook, visit juniperpaws.example/book or call (555) 010-0142. As a reminder, our policy says: "Missed appointments or cancellations with less than 24 hours' notice are charged a $15 fee."
>
> **4. Second no-show.** Subject: About {pet name}'s missed appointments
> Hi {client name}, {pet name} was booked today at {time}, and this is the second missed appointment. Under our policy, "Missed appointments or cancellations with less than 24 hours' notice are charged a $15 fee." To keep a spot for {pet name}, please confirm your next visit at juniperpaws.example/book or (555) 010-0142.
> UNCLEAR: your policy doesn't say what happens after repeated no-shows (for example, a deposit), so I left that out.

Good: the text is 129 characters before placeholders are filled, the policy is quoted word for word, and it didn't invent a deposit rule. A person still had to check their tool has a pet-name placeholder (the AI added {pet name} on its own) and confirm clients saw the fee policy when booking before charging it.

## Check before you send

- [ ] Name, address, link and phone are correct.
- [ ] The policy and fee match what clients saw when they booked. (In Square, clients don't see the policy if you don't require a card or prepayment; see Sources.)
- [ ] The text fits your tool's length limit once real names and dates are in.
- [ ] Placeholders match your booking tool.
- [ ] Only clients who agreed to texts get texts, and "stop" requests are honored right away.

## Don't paste

- Client names, phone numbers, emails or pet health notes.
- Card numbers or payment details.
- Logins to your booking tool.

## When not to use this

- To text people who never agreed to texts from you.
- To decide whether a no-show fee is fair or legal. Get advice if needed.
- Medical or other regulated appointments where reminders have extra privacy rules.

## Questions owners ask

**Can I send appointment reminders by text without permission?**
Get permission first. The FCC says autodialed texts need prior consent (written consent for commercial texts; informational texts may be oral), and people can opt out anytime.

**Should I charge a no-show fee?**
Your decision. If you do, state it clearly before booking and quote it exactly.
