# Turn customer feedback or survey answers into 3 themes and fixes

Paste a batch of customer comments, and AI groups them into the top three problems with comment numbers you can check, plus fix ideas, so you see what to work on first without reading every comment twice.

- Category: Customers and sales
- Difficulty: Easy
- Setup: about 10 minutes
- Time saved: about 30 minutes a use (our estimate, not a measurement)
- Works with: Any AI chat, Google Forms, Any survey tool that exports CSV
- Test status: Run once on made-up data on 21 Oct 2026 with Claude Opus 5.5. One run, not proof.
- Approval: Draft, not yet approved by the owner

## What this does

Paste a batch of customer comments, and AI groups them into the top three problems, with comment numbers, short quotes and a fix idea for each. You check the counts against the comments and decide which fix to try.

## Before you start

- Any AI chat (ChatGPT, Claude, Gemini or Copilot).
- 10 to 100 short comments, each numbered. Ratings are optional.
- Setup: about 10 minutes (our estimate), mostly exporting and cleaning.
- Privacy: keep only the comment and rating.

## Steps

1. Export your feedback. In Google Forms, open the form, click **Responses**, then **More**, then **Download responses (.csv)**. From other tools, copy the comments into a list.
2. Delete every column except the comment and rating. Number each comment.
3. Paste the prompt below with your comments.
4. Check one theme: read each comment number listed for it and make sure it belongs.
5. Reply yourself to the customers on the FOLLOW-UP list.
6. Pick one fix to try this month, and write down how you'll know if it helped.

## The prompt

```
Help me understand customer feedback for my business. Use only the comments I paste. Do not invent comments, numbers or trends. Do not contact anyone.
Comments (numbered, with rating if I have it):
[paste comments]
Please give me:
1. TOP 3 PROBLEMS: for each, a short name, the comment numbers that mention it, the count, and one or two short exact quotes.
2. WHAT CUSTOMERS LIKE: the same format, one or two themes.
3. LEFT OVER: comments that don't fit a theme, by number, one line each.
4. FOLLOW-UP: comments where a customer may need a personal reply (lost items, damage, safety, an unanswered call).
5. FIX IDEAS: one practical fix per problem, labeled "idea, not tested".
A comment can count toward more than one theme. If a comment is unclear, list it as UNCLEAR instead of guessing.
```

## Try it with made-up data

Lakeside Laundry & Fold (fictional pickup laundry service), June 2030 survey:

1 (5) Clothes always come back folded perfectly. 2 (3) Pickup was 2 hours late twice this month. 3 (2) Lost one sock and a kid's shirt. No one called me back. 4 (4) Great job but the app keeps logging me out. 5 (3) Driver came at 9 pm, way after the window. 6 (5) Folding is neat, smells fresh. 7 (2) Price went up without notice. 8 (3) Missing a pillowcase from last order. 9 (4) Good service, wish you had Sunday pickup. 10 (1) Pickup never showed and I had to call three times. 11 (4) Clothes are clean but the app is slow to load. 12 (5) Friendly drivers, folding is perfect. 13 (2) My white shirt came back with a pink stain. 14 (3) Delivery was late but the clothes were fine.

## What the AI gave us

> **TOP 3 PROBLEMS**
> 1. Late or missed pickups and deliveries: 2, 5, 10, 14 (4). "Driver came at 9 pm, way after the window." "Pickup never showed."
> 2. Lost or damaged items: 3, 8, 13 (3). "Missing a pillowcase." "Came back with a pink stain."
> 3. App problems: 4, 11 (2). "Keeps logging me out." "Slow to load."
>
> **WHAT CUSTOMERS LIKE:** Folding and clean clothes: 1, 6, 11, 12, 14 (5). Friendly drivers: 12 (1).
>
> **LEFT OVER:** 7, price rise without notice. 9, wants Sunday pickup.
>
> **FOLLOW-UP:** 3 (lost items, no callback), 8 (missing item), 10 (missed pickup, called three times), 13 (stained shirt).
>
> **FIX IDEAS (idea, not tested):** Text customers when a driver will be more than 30 minutes late. Count items at pickup and again at delivery, and call back on missing-item reports within one business day. Send the app maker the exact problems (logouts, slow loading).

I checked every comment number by hand and the counts were right. But the quotes are not all exact, even though the prompt asked for exact words: "Came back with a pink stain" drops "My white shirt" from comment 13, and "Missing a pillowcase" cuts comment 8 short without saying so. If you share quotes, copy the full words or mark cuts with "...". A person also had to notice that comments 3 and 10 also point to another issue, slow callbacks, which the AI listed under follow-up but not as a theme.

## Check before you send

- [ ] Read every comment listed under one theme and confirm it fits.
- [ ] Counts add up to the comment numbers shown.
- [ ] Quotes are exact words from the comments, not rewrites.
- [ ] FOLLOW-UP customers got a personal reply from you.
- [ ] Any fix you share with staff is labeled as a trial.

## Don't paste

- Customer names, emails, phone numbers or order numbers.
- Health details, even if a customer shared them in a comment.
- Staff names tied to complaints. Use roles like "driver".
- Comments from a survey you promised would stay private, unless the people who answered agree. Removing names doesn't keep that promise. Write your own short summary instead, with nothing sensitive in it.

## When not to use this

- Fewer than about 10 comments. Just read them.
- Serious complaints such as injury, harassment or legal threats. Handle each one yourself.
- When you need real statistics. Counts from a small batch show patterns, not proof.

## Questions owners ask

**Can AI analyze my Google Forms responses?**
Yes. Download them as a CSV file from the Responses tab and paste the comments in.

**How many comments can I paste at once?**
Up to about 100 short ones. With more, split them into batches.

**Why number the comments?**
So you can check the AI's work. Without numbers, you can't tell if a theme is real or made up.
