# Turn meeting notes or a transcript into a summary, decisions and action items

Paste your meeting notes or transcript, and AI sorts out what was decided, who does what by when, and what is still open, marking anything unclear, so everyone leaves with the same list after you check it.

- Category: Scheduling and meetings
- Difficulty: Easy
- Setup: about 5 minutes
- Time saved: about 20 minutes a use (our estimate, not a measurement)
- Works with: Any AI chat, Google Meet, Zoom, Microsoft Teams
- Test status: Run once on made-up data on 21 Oct 2026 with Claude Opus 5.5. One run, not proof.
- Approval: Draft, not yet approved by the owner
- Version: 1
- Last checked: 2026-10-21

## What this does

Paste your meeting notes or transcript. AI writes a short summary, lists only the decisions people clearly agreed to, and builds an action list with who and by when. Anything without a clear owner or date is marked UNCLEAR, so you fix it before you share the list.

## Before you start

- Any AI chat (ChatGPT, Claude, Gemini or Copilot).
- Your notes, or a transcript from your video call tool.
- The meeting date, so the AI can turn "Wednesday" into a real date.
- Setup: about 5 minutes (our estimate).
- Privacy: tell everyone before you record or transcribe. Recording rules differ by place, so check with your lawyer if you're unsure. Remove personal or HR topics first.

## Steps

1. **Get** the text. Google Meet (paid Workspace plans): **Meeting tools**, then **Transcribe**; it saves to the organizer's Drive. Zoom: before the meeting, turn on **Create audio transcript** under Settings, Recording (for cloud recordings). Teams: **More actions**, then **Transcribe**; organizers can download it later from the meeting Recap.
2. **Cut** small talk and private topics from the text.
3. **Paste** the prompt below with the meeting date and the text.
4. **Fix** every UNCLEAR item. Ask the person, or decide if it's your call.
5. **Share** the checked list with the team yourself.

## The prompt

```
Turn these meeting notes into a clear record. Use only what is in the text. Do not invent decisions, owners or dates. Do not send anything.
Meeting date: [date, with weekday]
People and roles: [list]
Notes or transcript:
[paste]
Please give me:
1. SUMMARY: 2-3 sentences.
2. DECISIONS: only things clearly agreed. Quote or point to the line.
3. ACTION ITEMS: a table of owner, task, due date. Turn words like "Wednesday" into a full date based on the meeting date. If the owner or date wasn't said, write UNCLEAR.
4. OPEN QUESTIONS: things discussed but not decided.
5. Anything said that sounds like a promise to a customer, so I can check it.
```

## Try it with made-up data

Northgate Bike Repair (fictional), staff meeting, Monday, June 3, 2030. Roles: Owner, Mechanic, Front desk.

> Owner: Quick one. We're two weeks behind on tune-ups.
> Mechanic: I can stay late Tuesdays and Thursdays through June, if it's paid.
> Owner: Yes, paid. Let's do it.
> Front desk: The online booking still lets people pick Sundays. We're closed.
> Owner: Can you fix that?
> Front desk: I think so. I'll need the login from you.
> Owner: I'll send it today.
> Mechanic: We're almost out of 700c tubes, about six left.
> Owner: Order 50? Or maybe 30, cash is tight this month. Let me think.
> Front desk: The customer with the cracked frame, the warranty one, has called twice.
> Owner: I'll call the supplier. Someone should call her back by Wednesday.
> Front desk: I can call her.
> Owner: Okay. Next meeting same time next week.

## What the AI gave us

> **SUMMARY:** The shop is two weeks behind on tune-ups, so the mechanic will work paid late shifts through June. The team also covered a booking-page error, low tube stock and a waiting warranty customer.
>
> **DECISIONS:** Mechanic works paid late shifts Tuesdays and Thursdays through June ("Yes, paid. Let's do it."). Next meeting: Monday, June 10, 2030, same time.
>
> | Owner | Task | Due |
> |---|---|---|
> | Owner | Send booking login to front desk | Mon June 3, 2030 |
> | Front desk | Remove Sundays from online booking | UNCLEAR |
> | Front desk | Call back the cracked-frame warranty customer | Wed June 5, 2030 |
> | Owner | Call the supplier about the warranty frame | UNCLEAR |
> | Mechanic | Late shifts, Tue and Thu | Through June 30, 2030 (start date UNCLEAR) |
>
> **OPEN QUESTIONS:** How many tubes to order, 30 or 50? Owner to decide.
>
> **Customer promises to check:** None made in the meeting. The callback by Wednesday is the closest.

The dates were right and it didn't pick a tube number for the owner. You still had to set due dates for the booking fix and the supplier call.

## Check before you send

- [ ] Every decision was truly agreed, not just mentioned.
- [ ] Each action has one owner and a real date.
- [ ] Dates match the calendar (Wednesday is really June 5).
- [ ] Names and roles are right; transcripts can mix up speakers.
- [ ] Nothing private or HR-related is in the shared version.

## Don't paste

- A staff member's pay, health, discipline or personal life.
- Customer phone numbers, addresses or payment details.
- Passwords or logins read out loud.
- Legal matters you discussed with your lawyer.

## When not to use this

- HR, disciplinary or legal meetings. Write those notes yourself.
- Poor transcripts. Fix the text first or use your own notes.
- When people didn't know they were being recorded.

## Questions owners ask

**Can AI take meeting notes for me automatically?**
Many video tools can. Google, Zoom and Microsoft each describe built-in transcripts, and the SBA lists summarizing meetings as an everyday AI use. You still check the result before sharing.

**Do I need to tell people I'm transcribing?**
Yes. Google Meet shows a transcript icon to everyone in the call, but saying it out loud is clearer.
