# Reply to online reviews, good and bad, and check the tone before posting

Paste your reviews and a few facts about your business, and AI drafts short, calm replies and flags the ones you should handle yourself, so you answer reviews faster without saying something you regret in public.

- Time saved: about 10 minutes a use (our estimate, not a measurement)

- Test status: Run once on made-up data on 21 Oct 2026 with Claude Opus 5.5. One run, not proof.

## What this does

Paste new reviews and a few facts about your business. AI drafts a short reply for each and flags any you should answer yourself, such as a safety or health complaint. You read every reply out loud before posting, because replies are public and stay up.

## Before you start

- Any AI chat (ChatGPT, Claude, Gemini or Copilot).
- The review text, copied from your review site.
- Three or four facts the AI may use: your hours, how customers reach you, your fix-it policy.
- Setup: about 5 minutes (our estimate).
- Privacy: copy only the review. Don't add what you know about the customer from your records.

## Steps

1. Copy the reviews you want to answer, one per line, with the star rating.
2. Paste the prompt below and fill in your business facts. The prompt's "anything not in the review" is about the customer: the business facts you list are fine to use, but nothing private about them.
3. Read the FLAG-OWNER list first. Answer those yourself, or get advice first.
4. Edit each draft so it sounds like you. Cut anything stiff.
5. Read each reply out loud. Would you say it to the customer's face, with other customers listening?
6. Post it yourself. On Google, go to your Business Profile, select **Read reviews**, then the **Reply** icon next to the review. Google says you must verify your business first and that it checks replies before they appear, usually within minutes.

## The prompt

```
Help me reply to customer reviews for my business. Use only the reviews and facts I give you. Do not post or send anything.
My business facts (use only these):
[business name, how customers can reach me, hours, fix-it or refund policy]
Reviews:
[paste each review with its star rating]
For each review:
1. Draft a reply under 80 words in a warm, plain voice.
2. Thank the reviewer. For a complaint, say sorry for the experience, don't argue, and invite them to contact me directly.
3. Don't admit fault for anything I haven't confirmed. Don't offer refunds, discounts or freebies unless my facts say so.
4. Never mention private details, order history, or anything not in the review.
5. If a review mentions health, injury, safety, discrimination, a legal threat, or seems fake, write FLAG-OWNER and say why. Give only a short neutral holding reply for those.
```

## Try it with made-up data

Copperleaf Bakery (fictional). Facts: reach us at the counter or by our contact form; open 7 am to 3 pm, Tuesday to Sunday; we remake any wrong order.

- 5 stars: "Best cinnamon rolls in town. The new seating area is great."
- 2 stars: "Waited 25 minutes on Saturday and they still got my order wrong."
- 1 star: "My son had an allergic reaction after eating a cookie labeled nut-free. Never again." (May 2030)

## What the AI gave us

> **5 stars:** "Thank you for the kind words. We're glad you're enjoying the cinnamon rolls and the new seating area. See you next time at Copperleaf."
>
> **2 stars:** "We're sorry about the long wait and the mix-up with your order on Saturday. That's not the visit we want for you. We remake any wrong order, so please reach out through our contact form or stop by the counter and we'll make it right."
>
> **1 star: FLAG-OWNER.** Reason: health and safety claim (allergic reaction, food labeling). Please answer this one yourself and consider getting advice first. Holding reply: "We're very sorry to hear this and we take it seriously. Please contact us directly through our contact form so we can talk with you."

The replies stayed within the facts and did not promise a refund. A person still had to decide how to handle the allergy claim, which no AI draft should settle.

## Check before you send

- [ ] Nothing private about the customer.
- [ ] No promise (refund, free item, discount) you didn't choose to make.
- [ ] Hours and contact method are current.
- [ ] Tone is calm even if the review is unfair. No sarcasm.
- [ ] You handled FLAG-OWNER reviews yourself, not as drafted.
- [ ] Each reply is different. Copy-paste replies look careless.

## Don't paste

- The customer's order history, phone number or address from your records.
- Health information, such as a patient's visit or a pet's medical record.
- Staff names or staff discipline details.
- Anything about a legal claim beyond the review text.

## When not to use this

- Health, dental, legal or other businesses with privacy rules. Even confirming someone is a client can be a problem. Ask your advisor first.
- Reviews that mention injury, safety, or a threat to sue. Reply yourself, and get advice.
- When you're still angry. Wait a day.
- Reviews you think are fake. Report them through the review site instead of arguing.

## Questions owners ask

**Should I reply to every review?**
It's a good habit, but take care with negative ones. Google says replies show customers you're responsive. A short thank-you is enough for good reviews.

**Will the customer see my reply?**
Yes. Google says the reviewer is notified when you reply, and the reply appears publicly under the review as your business.

**Is it okay to use AI to write review replies?**
The SBA lists review replies as an everyday AI use and says a person should check what AI writes before it goes out. You stay responsible for what you post.
